CRM Data is one of the nine source categories in Zeotap CDP. A CRM Data source connects to a customer relationship management platform you already run — HubSpot, Microsoft Dynamics CRM, or Salesforce CRM — and brings the records it holds, and the customer interactions attached to them, into the CDP for unification and segmentation. What sets this category apart is how the data arrives. A CRM Data source is credential-based and scheduled: you generate credentials on the CRM side, point Zeotap at one object in it, choose the fields you want, and Zeotap fetches them for you. The first fetch runs as soon as the source is created; every later fetch follows the sync frequency you picked. Setup happens entirely in the CRM and in Zeotap CDP — register an app in the CRM, then create the source against it.Prerequisites
Before you create a CRM Data source, confirm:
- You have permission to create sources in your Zeotap CDP tenant.
- You can generate the credentials the platform needs on the CRM side — a private app in HubSpot, an app registration in the Azure portal for Microsoft Dynamics CRM, and a connected app for Salesforce CRM.
- You know which object or entity you want to ingest, and which of its fields.
- You know the region of upload for this source, and whether the records describe customers (Customer Data) or a related entity such as transactions, accounts, or a product catalogue (Non Customer Data). See Supported Data Entities.
Key concepts
These are the settings that shape a CRM Data source, with the per-platform differences noted below. The field selection cannot be changed once the source exists, so settle that one before you start.- Credentials — Zeotap authenticates against your CRM with credentials you create there. The set differs per platform; see the table below.
- Object or entity scope — one source ingests one object. For HubSpot, that is Contacts or Companies. For Microsoft Dynamics CRM, it is an entity name such as
account,campaign, orincident(case). For Salesforce CRM, it is any standard or custom object associated with your Salesforce account — Zeotap fetches the available list for you. - Field selection — for HubSpot and Salesforce CRM sources you choose which fields of the selected object to ingest, using the check boxes, the Select All control, or the search box, and that selection is fixed once the source exists. A Microsoft Dynamics CRM source takes an Entity name instead and has no field-selection step.
- Sync frequency — the first sync runs on creation, and subsequent syncs follow the frequency you select. HubSpot offers Daily, Weekly, and Monthly. Salesforce CRM offers Sync once, Every hour, Every 3 hours, Every 6 hours, Every 12 hours, Daily, Weekly, and Monthly, and for the last three you also set the sync time (and, for Monthly, the day of the month).
- Fetch mode — HubSpot and Salesforce CRM sources let you choose Full or Delta. Full transfers the entire dataset on every sync regardless of what changed; Delta takes the whole dataset on the first fetch and then collects only incremental updates. Delta is the lighter option for a CRM that changes a few records at a time.
- Data entity — Customer Data or Non Customer Data, chosen during creation, determines how the ingested records are catalogued downstream.

Can one CRM Data source ingest more than one object?

No. Each source is created against a single object or entity — Contacts or Companies for HubSpot, one entity for Microsoft Dynamics CRM, one standard or custom object for Salesforce CRM. To bring in a second object, create a second CRM Data source for it.

Not for HubSpot or Salesforce CRM sources — editing the field selection after source creation is not supported. Create a new source in Zeotap CDP with the field selection you want. This is why it is worth confirming the field list before you finish creating the source.

The first sync runs once the source is created, so you do not have to wait for the schedule to come round. Open the source and check the Preview Data tab to confirm what arrived, then map those fields in the catalogue.

Not where a fetch mode is offered. Set the fetch mode to Delta and the source takes the full dataset once, then collects only incremental updates on each later sync. Full re-transfers the entire dataset every sync regardless of what changed, which is rarely what you want on a large object.
